HOST Quotes is a system that is focused on helping Harlequin staff create and track client quotes in a way that fits in with the existing operations of the business. It is geared toward saving time and bringing company-wide consistency to the quoting process.
The system is an opportunity for project managers to get organised. After receiving a client brief they are able to have relevant documents ready for suppliers to view once they start sending requests.
When gathering user requirements, we identified that one of the main challenges with the current quoting process was the duplication or confusion of information. In HOST Quotes an RfQ table acts as the single source of truth for project managers. This approach means multiple quotes can be built quickly under a single job.
When finalising the structure of the system it was clear there would be a lot of information to display per job. The project hub concentrates on the most relevant and useful information from a job and distils it down to a clean and useful at-a-glance interface.
HOST already had a general style set but with Quotes, we were required to take stock of what was already in use and formalise these components into a more structured design system. The main goal with this is a smoother handoff to the development team.
At the end of HOST Quotes, we feel we have been able to deliver a very comprehensive 'V1' product. We are currently gathering feedback from users of the system in the post-launch stage. The goal of Quotes was to simplify and unify the quoting process across Harlequin internationally and it's been great to see people embracing the system.
